Application Process

A Letter of Invitation may be required for a visa application if you are from a country that does not have a visa exemption agreement. IAFOR will provide Letters of Invitation to registered participants on request. IAFOR cannot provide Letters of Guarantee..

How to Submit

If you require a Letter of Invitation, please submit a request as follows:

  1. Read the Visas & Letters of Invitation page
  2. Download the Letter of Invitation form:

- For presenters

- For audience

  1. Complete all three pages of the Letter of Invitation form, replacing the red text with your personal information.
  2. Upload and submit your completed form below.
  3. Pay for Optional Trackable Registered Mail (Express Mail Service - EMS) if you selected this option.

Providing all the information we receive is correct, the Letter of Invitation process will usually take between 7 and 21 days.


Submission Form

When you have completed your Letter of Invitation form, please upload using the form below.

As long as you have paid the registration fee and completed the form correctly, IAFOR will draft the information onto official headed paper, and have it stamped with the seals of The International Academic Forum. This will normally be undertaken within seven working days of the IAFOR office receiving your request.

A verifiable email address from an institution (.edu, .org, .ac) is required. We are unable to accept a personal address (gmail, yahoo, hotmail, etc.).


How to Receive

Letters of Invitation are sent as PDF attachments. A regular airmail option (free) and a trackable registered mail option (additional cost) are available. Letters of Invitation will be sent from our head office in Japan to the address provided on page 1 of the Letter of Invitation, and will usually arrive within 7 to 10 days of dispatch (for most countries).

If the letter is required for administrative purposes internal to your university then the PDF option will usually suffice.
